Tools: Who, What, Why & When?

Welcome to Splash’s Technology Training Manual! Below you will find a breakout of our most commonly used Tools, a brief description of each and when they will be of use to you. Should you have any questions about the following, feel free to go to the ‘Support’ section and reach out to the appropriate party.


Outlook

What is it?  Microsoft 365's solution for managing email and an appointment calendar is called Outlook. 

When do we use it?  Use it for all email correspondence, scheduling, meetings & appointments!


Office 365

What is it? It is the productivity cloud that encompasses apps like Word, Excel, PowerPoint, OneDrive and Outlook. It brings together best-in-class productivity apps with powerful cloud services.

When do we use it? Every day! To communicate, share internal files (OneDrive), create Excel Docs, Word Docs, presentations. This is best for collaborating on temporary documents where you need to be notified, tagged or updated. There are many on demand applications within the online portal as well! 


Asana

What is it? Asana is an online platform that is used by many organizations to organize, track, and manage work. 

When do we use it? Splash uses this in a number of ways, including project management, maintaining internal processes, goal tracking and internal maintenance.


Messaging app (Teams)

What is it? It is a chat-based collaboration tool that provides global, remote, and dispersed teams with the ability to work together and share information via a common space.

When do we use it? For informal communication, daily huddles, chat room features, calls (camera & non) as well as a platform for encouraging Splash culture!


Dropbox

What is it?  It is a cloud storage service that enables you to store and share your files online “in the cloud.” It also provides internal file structure for the entire Splash Organization as well as a popular format to share files via "DropBox" links. 

When do we use it?  We use it to store and back up your files online for easy access from anywhere — your home computer, your work computer, or your mobile device. Your files are stored on Dropbox’s servers and can be synchronized, or automatically kept up-to-date, on all of your devices.


Zoom

What is it? It is a cloud-based video communications app that allows you to set up virtual video and audio conferencing, webinars, live chats, screen-sharing, and other collaborative capabilities.

When do we use it?  We use it instead of Teams when interacting with persons outside of the Splash organization, with persons who have intermittent connectivity or for meetings with 6 or more persons.


Salesforce

What is it? It is used to track our programmatic implementation efforts as well as our donor information. As a Salesforce user please note that you may have access to certain Salesforce functionality that others don’t and visa versa. This is normal and depends on what you are responsible for doing in Salesforce. 

When do we use it?  If you are within the Programs team, please see Salesforce Tutorials. If you are on the Development Team please speak to your superior. Otherwise, you may not be given access as typically only these teams use this Tool.


TeamViewer

What is it? TeamViewer is a fast and safe remote management tool designed to help managed IT service providers proactively monitor remote systems, client endpoints, and networks. It can monitor the health of devices for early identification of issues. It also allows us, with the users permission, to remotely login to a computer to better support staff.

When do we use it?  On a daily basis TeamViewer is working behind the scenes for the IT Team to support Splash Staff.  We use it with IT when computers that are behind on maintenance to send updates (also known as "Patches"). We also use it to for remote login on individual computers when hands on support is needed. Please note IT Team will never remote login to your computer without your approval.
